How to create a transfer request?

ShopHub supports adjusting SKU quantity between warehouses in the system, and form a transfer request to record corresponding flows.

Five kinds of status of a transfer request:

  • Pending outbound: a transfer request will enter Pending outbound status after being created successfully
  • Transfer in transit: requested products have been transferred out of warehouse without receiving quantity being entered
  • Partial inbound: part of SKUs in the transfer request have been received for inbound, while there are still some SKUs left with receiving quantity not being entered
  • Finished inbound: all SKUs in the transfer request have been received for inbound.
  • Cancelled: cancelled transfer request will be transferred to this status

 

1. Create a transfer request

Step 1, go to [Inventory] > [Transfer request], click [Create a transfer request] and enter basic information page

 

Step 2, select [Outbound warehouse] and [Inbound warehouse], click [Add SKU] and select SKUs to transfer, then click [Confirm]. Selected SKUs will be added into basic information page for creating the transfer request

 

Step 3, enter [Unit cost] and [Transferred quantity] on basic information page, then click [Create] to complete creation of a transfer request.

  • Available inventory = warehouse inventory - unshipped quantity
  • Available inventory transferred amount

 

 

2. Transfer request status flows

When the transfer request is successfully created, there will be 5 kinds of status: [Pending outbound], [Transfer in transit], [Partial inbound], [Finished inbound] and [Cancelled], corresponding inbound/outbound orders will be generated for you to check and track the transfer at any time.

(1)Pending outbound

Successfully created transfer request will enter Pending outbound status. In this status you can export transfer request, send it to related warehouse management staff for preparation based on your business flows.

Step 1, export transfer request

Go to [Pending outbound] > [View] and enter basic information page. Click [Export] at top right corner to export the basic information of this transfer request.

 

Step 2, prepare for outbound

When the preparation is completed, you can confirm the product outbound on basic information page of the transfer request.

Go to [Inventory] > [Transfer request] > [Pending outbound] > [View], enter the basic information page of this transfer request, click [Outbound] at bottom right corner and click [Confirm] in the pop-up window. Then outbound starts for requested products.

 

(2)Transfer in transit

When confirmed outbound, status of the transfer request will be transferred to [Transfer in transit]. Go to [Inventory] > [Transfer request] > [Transfer in transit] and enter basic information page, you can enter the quantity of [Current inbound] and [Current defective products].

  • Current defective products: you can enter the quantity of lost products and defective products in transit
  • Transferred quantity = Current inbound + Current defective products
  • Total transferred amount = transferred quantity * unit cost

(3)Partial inbound

In [Transfer in transit] status, the transfer request will enter [Partial inbound] when part of SKUs are received for inbound.

Go to [Inventory] > [Transfer request] > [Partial inbound], click [Receive for inbound] and enter basic information page of the transfer request. You can continue to update SKU quantity of [Current inbound quantity] and [Current defective products]

Note: [Current inbound quantity] and [Current defective products] are optional, while the data entered should be greater than 0, and [Current inbound quantity] / [Current defective products] = transferred quantity - finished inbound - defective products of finished inbound

 

(4)Finished inbound

When all SKUs of the transfer have been successfully received with quantity entered and inbound confirmed, the transfer request status will be transferred to [Finished inbound]

When the condition [Transferred quantity] = [Finished inbound] + [Defective products of finished inbound] is met, flow of the transfer request is completed and the request will enter status Finished inbound.

  • Defective products of finished inbound: quantity of defective products in transit will be confirmed for inbound, and system will automatically generate outbound order and deduct corresponding inventory.

 

(5)Cancelled

Supports cancelling created transfer requests. You can cancel the request in [Pending outbound] and [Transfer in transit] status.

A. How to cancel the transfer request in [Pending outbound] status?

Step 1, go to [Inventory] > [Transfer request], click [View] in [Pending outbound] status to enter the basic information page.

 

Step 2, click [Cancel transfer request] at bottom right corner, then the request will be deleted with confirmation

 

B. How to cancel the transfer request in [Transfer in transit] status?

Step 1, go to [Inventory] > [Transfer request], click [Receive for inbound] in [Transfer in transit] to enter basic information page of the transfer request

 

Step 2, click [Cancel transfer request] at bottom right corner, then the request will be deleted with confirmation.
